Data/Contract Information Specialist

We are looking for a dynamic professional to identify and manage contracts and communications from our partners and clients to achieve and maintain database reliability and integrity. The Data/Contract Information Specialist will also be responsible for communicating contract updates to impacted business partners, obtaining certificates of insurance, and maintaining registrations, certifications, and licenses for our growing enterprises.

General Responsibilities

  • Previous experience in maintaining, incorporating, and/or accurately accounting for information within a customer relationship management system
  • Coordinate with the Operations Team to develop and maintain Kamana, to include documenting standards for use, control, updating and maintenance of databases
  • Identify contract changes and communicate those terms to relevant business units and update Kamana, as needed
  • Identify, track, and resolve database and contract discrepancies and work with applicable teams to resolve those incidents within acceptable timeframes
  • Establish Kamana records based on new or amended contracts and coordinate with business units to finalize data
  • Generate reports to confirm active contracts are in place
  • Run conflicts checks upon receipt of new contracts and communicate findings to the contracts team
  • Shepherd credit check, compliance, rates, payment terms to appropriate business units for input and approvals
  • Assist with finalizing contracts for signature and amended contracts
  • Track expiring contracts
  • Respond to requests for Certificates of Insurance and vendor information
  • Develop tactical contract reporting and analysis
  • Track and maintain registrations, certifications, and licenses (The Joint Commission, GSA/SAM, State Business Licenses, Nursing Pool Licenses, Secretary of State Certificates)
  • Coordinate and schedule appointments for leadership for the maintenance of certifications and licenses
  • Support drafting responses to RFPs, as needed

Education and Experience

  • Bachelor’s Degree or equivalent work experience
  • Experience working with and managing data maintenance
